Payment
- ALL FEES ARE NON-REFUNDABLE and include all applicable taxes.
- All Group Class Series are valid only for the term for which they are purchased. A maximum of 2 unused Group classes can be carried over to the subsequent term on a substitution basis.
- Only payment in full will ensure your reservation in the Private, Semi-Private or Group class of your choice.
- Private, semi-private and small group packages will expire after an account is inactive for a period of 12 months or more.
- A Surcharge of $5.00 will be applied to all card less transactions made over the phone or in the studio.
- Retrofit Bodyworks accepts payment by Visa, MasterCard, Debit, Cheque, and Cash.
24-Hour Cancellation Policy
Like most fee-for-service based businesses, Retrofit Bodyworks employs
a 24-hour cancellation policy for private, semi-private and small group
appointments. We require you give us 24-hours notice to change or cancel
an appointment or you will be charged the full fee for that appointment.
When you book an appointment, you are not simply booking one hour of an
instructor's time, you are also reserving one hour of facility space. For
many instructor/facility hours, demand exceeds availability. Booking the
hour for you pre-empts us from making that instructor/ facility hour available
to another client. 24-hours is the minimum amount of notice we require to
book the hour to another client. This is the only way we can try to ensure
that instructor/facility hours are maximized.
We appreciate that in rare instances, circumstances beyond your control
prevent you from providing us with 24-hour notice to change or cancel an
appointment. Regrettably, the fee for that cancelled hour remains the
responsibility of you, the client. Retrofit Bodyworks cannot make any
exceptions to its policy.
Group Class Substitution Policy
We understand that it may be necessary to miss the occasional class, so we offer
our clients the opportunity to make up missed classes. Based on client feedback,
we have developed the following substitution policies:
- If you miss a mat class for any reason, you may make it up within the term by taking any other mat class of a similar level. If you miss a reformer or small apparatus class you may make it up by taking any other reformer or small apparatus class. If you wish to substitute into a reformer or small apparatus class to make-up a mat class, a surcharge will apply.
- You do not need to notify the studio if you will miss a class and you cannot reserve a space in a make-up class. When you arrive to take a substitute class, please sign in under "Substituting".
- If the class is at maximum capacity, no substitutions will be allowed. Substituting students will be accepted on a first-come, first-served basis.
- If a registered student arrives late and the class is at maximum capacity, the last person on the substitution list will be asked to vacate his or her space.
- All classes must be completed within the term for which they were purchased. Unused classes cannot be carried over to another term. If you anticipate missing classes you can attend substitute classes ahead of your absence.
Pre-Natal Class Substitution Policy
- If you have unused Pre-Natal classes following the birth of your child, these classes can be carried over into subsequent series as substitution classes.
- These substitution classes are valid for one year from the date of purchase.
- Unused classes have no cash value and cannot be used to register for a specific class. All substitutions are based on space availability on a first-come basis.
- Classes are not transferable.
